Operations Analyst
Job Description
Salary: £30,000 - 40,000 per year
Requirements:- At least two years experience in operations, strategy, consulting, business improvement, product operations or another analytical role in a fast-paced environment.
- A strong record of owning complex, cross-functional work from an unclear problem through implementation and measurable result.
- Practical process-discovery and workflow-design experience, including exceptions, controls and root-cause analysis.
- Strong analytical judgement and confidence working with incomplete, inconsistent or poor-quality operational data.
- The ability to break complex problems into smaller deliverables and prioritise by impact, risk, dependency and effort.
- Confidence working directly with warehouse, manufacturing, quality, finance, commercial and leadership teams.
- Clear written and verbal communication, attention to detail, curiosity and personal accountability.
- A strong academic record or equivalent evidence of analytical ability.
- Practical coding skills and comfort using data and technology to solve operational problems.
- Confidence using tools such as SQL, Python, R, or similar to investigate problems and support decisions.
- Build and maintain a company-wide inventory of our operational processes.
- Map how processes actually operate, including purpose, triggers, inputs, outputs, ownership, roles, systems, data, hand-offs, approvals and controls.
- Capture exceptions, workarounds, rework, queues, failure modes and undocumented steps.
- Work with operational teams to observe processes and validate maps against real examples.
- Map end-to-end cross-functional journeys across commercial, supply chain, manufacturing, quality, finance, people and technology workflows.
- Design simpler future workflows with clear ownership, business rules, system responsibilities, controls, exception paths, service levels and measurable outcomes.
- Convert agreed designs into requirements, implementation tasks, acceptance criteria, training needs, procedure changes and accountable owners.
- Use data, automation, reporting and workflow tools to improve operational processes and reduce repetitive manual work.
- Analyse and reconcile operational data across orders, stock, purchasing, manufacturing, quality and finance.
- Work with technical colleagues, system suppliers and specialists to define requirements, test solutions and implement improvements.
- Contribute to system integrations and data-migration work by defining business rules, validating outputs and managing operational risks.
- Build reliable datasets, dashboards, alerts and operational metrics tied to defined source data.
- Assess whether proposed changes are safe and valuable before implementation, especially where GxP records, patient supply, stock status, release decisions or financial control are affected.
- Prioritise problems by patient or compliance risk, operational impact, cost, effort and speed to value.
- Take improvements from problem definition through design, build, testing, training, implementation and measurement.
- Support the selection and implementation of ERP/MRP, quality-management, reporting and workflow systems.
- Manage technology and service vendors, set performance measures, challenge delivery and negotiate commercial terms where required.
- Establish KPIs, risk indicators and review routines so teams can identify problems early and act on evidence.

We are Xeal Pharma, a Birmingham-based pharmaceutical manufacturer producing human and veterinary Specials and Cannabis-Based Products for Medicinal Use (CBPMs) for patients and animals whose needs cannot be met by standard licensed medicines.
