Senior Systems Administrator – Business Applications & Integrations

Salary: £48,000 - 58,000 per year

Requirements:

• At least five years experience in systems administration, systems engineering or internal IT
• Strong knowledge of Microsoft 365 administration
• Experience managing user accounts, permissions, security and access controls
• Experience supporting business applications and internal users
• Hands-on experience integrating different applications
• Practical understanding of APIs, webhooks and automation tools
• Scripting or basic coding experience
• Understanding of databases and how data moves between systems
• Experience testing, diagnosing and resolving technical problems

Responsibilities:

• Review and understand our current systems and processes, including Microsoft 365, email, user accounts, devices, access and permissions
• Review and understand our HubSpot CRM and our second CRM and case-management system
• Review and understand our telephone and call-management systems, WhatsApp and other business communication tools
• Review and understand our online forms, reports and document-management processes
• Review how leads, clients, cases, documents and data move between systems
• Review manual, repetitive and duplicated work
• Review existing integrations and automation
• Review data quality, security, access and system ownership
• Review opportunities to use automation and AI appropriately
• Produce a practical improvement plan showing what is working well, where risks exist and what should be improved first
• Identify which manual processes could be automated and which applications should be connected
• Identify what can be completed internally, what should remain with existing external partners and where specialist external support may be required
• Estimate timescales, priorities and costs for improvements
• Manage Microsoft 365, email, user accounts, access and permissions
• Support computers, business software and internal users
• Maintain appropriate security, backups and access controls
• Monitor the performance and reliability of internal systems
• Connect business applications using APIs, webhooks and automation tools
• Write scripts or basic code where appropriate
• Diagnose and resolve integration and data-flow problems
• Test new integrations, workflows and system changes
• Improve how information moves between different systems
• Identify opportunities to reduce repetitive manual work

Gordon Hoffman Solicitors is managing the recruitment process for this position on behalf of Reclaim My Finance. We are looking for an experienced Senior Systems Administrator to take ownership of our internal IT environment, business applications, integrations and technical improvement projects. This is a hands-on role combining systems administration with business application integration, automation, troubleshooting and supplier coordination. Our main CRM systems are already built and operational, and we are not looking for someone to replace or rebuild them. Instead, we want someone who can learn how our systems and business processes currently work, identify improvements, connect applications and help us automate more of our work. The role is hybrid, with regular attendance required at our office at Merchants Quay, Salford, Greater Manchester. We offer a salary of £48,000 to £58,000 per year, along with free parking, on-site parking and transport links.
