We are looking for an energetic, organized, and proactive Working Student - Office Coordinator to become the heartbeat of our Berlin workspace. In this role, you will be the driving force behind a smooth, welcoming, and highly efficient daily office environment. Balancing 20 hours a week around your studies (3 days per week) you will manage day-to-day office operations, support our team, and help cultivate a vibrant workplace culture. This is a fantastic opportunity to gain hands-on operational and administrative experience in a fast-paced, international business environment.

What you'll be doing:

Office Operations & Hospitality

  • Workspace Management: Act as the main point of contact for the Berlin office, ensuring the workspace remains professional, organized, welcoming, and tidy at all times.

  • Inventory & Supplies: Proactively manage and restock office inventory, including kitchen supplies, snacks, beverages, and stationery.

  • Vendor Relations: Liaise and build positive relationships with external service providers, including cleaning staff, couriers, building management, and suppliers.

  • Facilities & Workplace Experience

    • Facilities Maintenance: Oversee the functionality of office equipment (printers, coffee machines, meeting room tech) and promptly coordinate maintenance or repairs when needed.

    • Health & Safety: Assist in maintaining basic workplace health, safety, and security standards, ensuring a safe environment for all employees.

    • Visitor Management: Warmly welcome guests, candidates, and visiting international colleagues, ensuring they have an exceptional on-site experience.

    • People, Culture & Events

      • Event Coordination: Take a lead role in bringing our team together by planning and organizing weekly team lunches, office celebrations, seasonal parties, and cultural events.

      • Community Building: Act as a culture champion, brainstorming new ideas to make the Berlin office an inspiring and fun place to work.

      • Administration & Onboarding Logistics

        • Access Control: Coordinate the logistics for office access, managing key cards, fobs, and desk allocations for new starters, guests, and departing employees.

        • Financial Admin: Assist with basic office finances by organizing and processing office-related invoices, receipts, and maintaining simple trackers for monthly office expenses.

What you'll need to have:
  • Current Student Status: You are currently enrolled in a Bachelor’s or Master’s program at a university in Berlin/Brandenburg, with at least 1 year left of studies.

  • The Right Attitude: You are naturally organized, detail-oriented, and possess a "no task too small" mentality. You love solving problems and helping others.

  • Communication Skills: Fluency in English (our company language) and a strong command of German (essential for communicating with local suppliers, landlords, and German administrative bodies).

  • Tech Savvy: Comfortable using standard workplace tools (e.g., MS Office/Google Workspace, Slack).

  • Availability: Ability to work on-site in our Berlin office across 3 days a week, with flexibility during exam periods.

  • Collaborative working - We offer a 3 days a week on site expectation. In addition to our 30-day holiday allowance, we also provide a work from abroad policy, enabling employees to work remotely for up to another 30 days per year (pro rated)

Learning and Development - We offer a €500 annual budget to support your professional growth - because investing in your development benefits us all. In addition, we provide leadership cafés, on-the-job training, and other opportunities to help you grow your skills and thrive in your role.

Insurance - Because better safe than sorry - we want our employees to benefit from various insurances including accident insurance, disability insurance, direct insurance (bAV) and travel insurance.

Gym membership - PPRO helps contribute towards the costs of your gym membership, supporting your physical fitness journey while easing the burden on your wallet

Enhance Family Leave - We understand the importance of family - that's why we offer enhanced family leave to support you during key life moments.

Mental Health Platform - We’ve teamed up with a top well-being platform to provide one-on-one therapy, chat therapy, therapist-led courses, guided meditations, and more.

Pet-friendly office - Because work is better with your paw-tners by your side

    Our Principles:

We get things done: We are courageous; we take ownership, make decisions and get things done.

We act with trust and integrity: We listen first and challenge respectfully. We seek out and leverage diverse perspectives. We welcome and offer honest and open feedback, always assuming positive intent
